The campus’s administrative center is the historic Woodlawn home, built in 1836 and listed on the National Register of Historic Places. Woodlawn School is seeking an experienced music teacher for the 2025-2026 school year. Music teachers lay a foundation for a lifelong love of, and appreciation for music by introducing basic melodic and rhythmic concepts, instrument types and families, vocal posture and breathing, and numerous other topics and skills. Full and/or part-time availability will be considered. 

Performing Art professionals have the unique opportunity to collaborate with other team teachers to bring music and drama into history, technology, and other areas to provide further context and enhanced learning for students, through our project-based learning approach. Our teachers are encouraged to bring their own passion into the classroom and share with students enthusiastically and innovatively to produce extraordinary outcomes. 

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Further develops, implements, assesses, and modifies, as necessary, a dynamic music program that aligns with Woodlawn's mission, vision, and values.
  • Prepares and implements music lessons for grades PK - 5th, including vocal instruction, training with classroom instruments, and general musicianship including theory, composition, and music history.
  • Shares a passion for music instruction with middle and upper school students through an elective course offering each trimester
  • Provides a variety of learning experiences so that students demonstrate skills and concepts learned through individual and group performances and a variety of communication mediums.
  • Provides and supervises opportunities for students to demonstrate individually and in ensembles the skills and talents developed in the music program, bringing pride of accomplishment to students and the school.
  • Engages students in differentiated learning experiences for the range of skill levels and developmental needs found in the classroom, managing, when appropriate, multiple instructional activities simultaneously.
  • Utilizes repertoire of all types of music literature, including traditional and contemporary, that are age-appropriate music learning experiences.
  • Leads instrumental ensembles.
  • Directs and coordinates performances in school concerts, festivals, and community events.
  • Plans, rehearses, and directs students in musical programs for the school.
  • Serves as the Musical Director for the annual Middle/Upper and Lower School Musical theater productions. 
  • Listens and responds to student and parent concerns in a responsible, constructive and resourceful manner.
  • Establishes and maintains standards of student behavior to provide an orderly, productive classroom environment during class time.
  • Communicate effectively with students and families about student progress and upcoming events and performances.

EDUCATION and EXPERIENCE

  • Bachelor's or Master's degree in Music and/or Education.
  • Minimum 2 - 3 years teaching experience  (independent school preferred).
  • Knowledge of a variety of music styles, repertoire, and teaching methodologies is necessary.
  • Ability to play and teach guitar is preferred.
  • Ability to play and teach piano/keyboard is preferred.
  • Model and develop good vocal technique as appropriate for all ages.

Primary Responsibilities:

  • Teacher Support and Instructional Practices: Collaborate with teachers to identify and implement evidence-based accommodations, educational strategies, and classroom management techniques that support diverse learners. Help build faculty instructional capacity to meet the needs of asynchronous gifted learners. Provide coaching and resources to enhance teaching, learning, and accommodations in the classroom.
  • Academic Support: Provide leadership, guidance, and expertise to support students' academic and learning needs through targeted interventions, resources, and programs tailored to the needs of students, classrooms, and schoolwide learning initiatives. Design and implement individualized and small-group academic support programs that empower students to reach their full potential. Guide students in developing essential academic skills, including critical reading, analytical writing, time management, and effective study strategies.
  • Case Management: Assess the academic needs of individual students. Work with division leaders, school counselor, teachers, students, and parents; collect data, obtain relevant information, and manage documents on academic, emotional, physical, and other issues that necessitate interventions; convene meetings with involved persons and professionals; create the accommodation plan; and assure all involved understand the plan and can implement it. Create and maintain comprehensive Student Learning Plans that reflect each student's unique learning profile. Monitor student progress and adapt support strategies to ensure continued growth.
  • Develop Personalized Education Plans and Provide Intervention: Work directly with individuals and small groups of students who need modifications, accommodations, or individual academic interventions. This may include executive functioning and/or academic skills.
  • School-Wide Initiatives: Organize, lead, and support teachers with school-wide initiatives to foster executive functioning skills, educational growth, and independence. Offer and/or organize family education nights as needed.
  • Collaborative Partnership: Partner with School Counselor and Division Directors to provide support, education, and continuity of services for students and families. Be a team player and leader in supporting students and teachers on their educational journey.
  • Data Management: Schedule and attend parent/guardian-teacher meetings as needed to support student learning.  Maintain detailed and organized notes of communications and relevant student support information.
  • Manage and coordinate in partnership with the Division Director, School Counselor, and the Student Support Teams.
  • Perform related duties as assigned.

We are seeking a Business Manager to assist our growing school community. This position will report directly to the Chief Finance and Operations Officer. Full and part-time candidates will be considered for this opportunity. This position requires full or part-time presence at our office location.

WHO YOU ARE

Daily Responsibilities:

General Accounting & Financial Reporting

  • Record revenues and expenses from multiple sources and manage/reconcile general ledger accounts.
  • Prepare journal entries, reconcile bank accounts, and maintain financial records.
  • Support the annual audit by preparing financial reports and ensuring compliance with accounting standards.
  • Assist with the Budgeting and Forecasting processes.

Student Billing & Accounts Receivable

  • Manage student billing system, including charges and credits per re-enrollment and enrollment contracts/processes.
  • Maintain accurate student account records and process payments. Reconcile Accounts.
  • Handle payment processing, make deposits, and resolve banking issues.
  • Manage collections, ensuring timely follow-up on outstanding balances and escalating issues as needed.
  • Assist families with billing inquiries and online payment systems.
  • Generate reports related to student enrollment, financial aid, and budget planning.
  • Support financial reporting and annual audit activities.
  • Assist with Auxiliary Programs processes.

Accounts Payable & Vendor Management

  • Assist with invoices and payment processes.
  • Manage corporate credit card tracking, coding, and reconciliations.
  • Maintain vendor records, ensure compliance with purchasing policies, and issue annual 1099s.
  • Provide expense coding support to departments and ensure accuracy in payables.

Additional Responsibilities

  • Assist with system changes, systems upkeep, financial policies, internal controls, and compliance reporting.
  • Maintain organized financial records and ensure proper archival of documents.
  • Provide financial analysis and reporting to support decision-making.
  • Assist in general Business Office operations and perform other duties as assigned.

Facilities + Campus Manager

Facilities + Campus Manager

Position Description:                    

The Facilities + Campus Manager is responsible for maintaining the quality and safety of the school’s physical assets (buildings, grounds, equipment, vehicles) and is responsible for proactive oversight of the Woodlawn School’s physical campus, including maintenance, repair, and improvements of all buildings, security, grounds, water system, athletic fields, vehicles, and other equipment. The role is critical to managing the day-to-day operations of the campus (security, drop-off/pick-up, parking, service requests) as well as managing short-term and long-term facilities capital planning processes that directly align with the school’s needs and strategic vision. This is a twelve-month leadership position. 

Daily and ongoing responsibilities:

  • Oversee maintenance and repairs, including performing routine maintenance, repairs and inspections as well as utilizing outside vendors for larger projects. 
  • Manage and review service contracts, schedule routine inspections and emergency repairs with outside vendors, and oversee the cleaning staff and lawn care crew. 
  • Work closely with the Admissions, Athletics, Advancement Office, and the Director of Engagement to manage and execute key logistics essential to the success of various on-campus events
  • Oversee and coordinate responses to all facility requests for maintenance and repairs and school activities and programs, including setups, takedowns, and cleaning.
  • Coordinate the use of school facilities with all key constituencies (faculty, staff, students, parents, alumni, and external rental groups). Understand user needs to ensure appropriate facility arrangements. 
  • Organize, schedule, and oversee regular preventative maintenance and repairs on mechanical, electrical, plumbing, HVAC, roofs, finishes, security, safety and monitoring systems, and other equipment.
  • Regularly inspect buildings, mechanical areas, and grounds to ensure they are in keeping with the school’s maintenance standards and life safety requirements.
  • Responsible for the maintenance and safety compliance of all Building & Grounds vehicles
  • Manage maintenance, repair, and construction projects with sensitivity to school schedule and operational needs.
  • Manage and oversee buildings’ systems life-cycle inventory with planned replacement and repair schedules.
  • Manage all outside vendors providing services to the school, including negotiating and obtaining contracts, approvals, licenses, etc., for all facilities, buildings, vehicles, and grounds.
  • Responsible for ensuring effective, constant communication within the school community of all maintenance, construction, and related projects and issues.
  • Supervise purchases and maintenance of appropriate office furniture, fixtures, equipment, supplies, and systems to support the administrative and educational needs of the school.
  • Lead the Security Council and supervise the security officer to ensure that all health and safety systems are fully functioning and that the security systems are operating at the level specified and within the expectations of the school community and the Security Council.
  • Ensure compliance with all government regulations, including ADA, OSHA, hazardous materials, fire/health, and building inspection.
  • Develop, administer, and implement the school’s crisis management and safety and security plans in accordance with the school’s security council's short and long-term strategies (including internal communications - e.g., management and upkeep of radios, phones, etc.)
  • In coordination with the Leadership Team, conduct training and drills on policies and procedures for employees and students regarding emergency management, general safety, and building security.
  • Recommend and manage facilities' annual operating budget. Responsible for reviewing budget reports and managing and controlling expenditures to make the best use of school resources.
  • Maintain communication with town and state agencies as required, ensuring all required permits are obtained.
  • Be available on call 24/7 for emergencies and special events; be able to work days, occasional nights, weekends, and holidays as needed.

Strategic and long-term responsibilities:

  • Manage lifecycle, inventory, and planning for all current capital assets and future capital needs.  Partner with the Chief Finance and Operations officer to develop and oversee operating, capital (one-year and long-term), and detailed project budgets for facilities. 
  • Develop operating initiatives, including sustainability and energy conservation; develop a sustainability strategy to reduce energy consumption and expenditures across campus.
  • Collaborate with academic and staff leadership to understand the facilities work needed to support the school’s mission and operations (e.g. admission, advancement, athletics, technology, and security).
  • Participate in the strategic development and management of the campus (e.g. master plan, zoning compliance, traffic compliance, utilities services, energy management)
  • Prepare RFPs and review bids for all facilities work.
  • Provide oversight of and management of all third parties (including owner’s representative, architect, and construction manager), who are working on major capital projects; This will include schedule development, design, bidding/negotiation, and keeping projects on schedule and on budget; Must be able to identify, evaluate, and prioritize the needs of the School within budget and personnel limitations
  • Perform other management duties as requested.

Education, Experience, and Training:

  • A bachelor’s degree in Facilities Management, Business Administration, and/or Construction Management, or a related degree, is strongly preferred; or an equivalent combination of work experience and training.
  • A minimum of 5-7 years of relevant experience in a facilities management role; preference given to experience in a multi-building, campus setting like an independent school, college/university, or hospital.
  • The successful candidate has a strong work ethic, a proven ability to build relationships, and a strong desire to work in a demanding school environment.

 

The Manager must also possess the following skills:

  • Demonstrates exceptional oral and written communication, organizational, and interpersonal skills. Must be able to communicate effectively, professionally, and clearly with the entire school community of faculty, staff, parents, students, visitors, and vendors.
  • Experience interpreting documents and instructions such as work requests, drawings, AIA documents, blueprints, and schematics.
  • Proficiency with Word, Excel, Google applications, Gmail (or comparable project/task management system).
  • Knowledge of ADA, OSHA, and EPA safety regulations and training, including Material Safety.

Physical Requirements and Work Environment

  • Occasionally lift equipment and materials weighing 50 pounds or more
  • Ability to walk for extended periods of time around campus, climbing stairs, and driving
  • Crawl, climb ladders, twist, turn, and reach in completing a variety of job duties
  • Work in a wide variety of environments as found in all areas of the school
  • Able to operate vehicles and machines
  • May work at a desk or computer periodically for extended periods of time
  • Primary residence must be within 25 miles of campus

Founded in 2002, Woodlawn first began with just seven students and two small buildings and opened its doors for the first time in the fall of that year. Just two years later, 70 students were enrolled and Woodlawn had already established a reputation as a place where high academic standards led to independent, lifelong learning.
